  • Greet and assist patients, visitors, and staff in a courteous and professional manner.
  • Answer phone calls, respond to inquiries, and direct calls to the appropriate departments or individuals.
  • Schedule and manage appointments for patients, ensuring efficient utilization of clinic resources.
  • Maintain accurate and up-to-date patient records, ensuring data privacy and confidentiality.
  • Coordinate administrative tasks such as filing, data entry, and document management.
  • Assist with billing and invoicing processes, ensuring accuracy and compliance.
  • Collaborate with healthcare professionals to ensure seamless communication and patient care coordination.
  • Support the clinic's marketing and outreach efforts, including maintaining social media platforms and assisting with promotional materials.
  • Prepare and distribute correspondence, memos, and other written communications.
  • Monitor and order office supplies to ensure adequate inventory levels.
  • Assist in organizing and coordinating meetings, conferences, and events.
  • Contribute to process improvement initiatives to enhance clinic efficiency and effectiveness.


  • High school diploma or equivalent; additional relevant education or training is a plus.
  • Proven experience as an administrative assistant or in a similar role, preferably in a healthcare setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and office equipment.
  • Excellent verbal and written communication skills in English and French.
  • Strong organizational skills with the ability to multitask and prioritize responsibilities.
  • High level of attention to detail and accuracy.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Exceptional interpersonal skills and a customer-centric attitude.
  • Knowledge of medical terminology and clinic operations is an asset.
